Subscribe to events in your calendar app

- Beta
Use a calendar feed when you want KORONA Event events to appear in your own calendar app, such as Google Calendar, Apple Calendar, or Outlook. The calendar app subscribes to a personal link and updates itself, so you do not need to export or re-import anything.
You can create these feeds:
| Feed type | What it shows | Who can create it |
|---|---|---|
| All Events | Every event in the date range. | Back-office users. One feed per user. |
| My Schedule | Your own resource assignments and reservations, such as the events you are scheduled to staff. | Users with a resource login. |
| Saved view | Only the events that match a saved view on the Events list. | Back-office users. One feed per view. |
Before you start
- Sign in to the back office with your own user. Calendar feeds are personal: only you see the feeds you create, and each feed shows events from your point of view.
- To subscribe to a filtered list, first save the filter as a view on Services > Events. See Filter events, orders, customers, invoices, and attendees.
Create a feed for all events or your schedule
- Open the user menu from the account icon in the back-office navigation.
- Select Calendar Feeds.
- Select Create.
- Under Feed Type, select All Events or My Schedule. Back-office users see All Events; users with a resource login see My Schedule.
- Enter a Name. Your calendar app shows this name for the subscribed calendar.
- Set Past Days and Future Days. See Choose the date range.
- Select Create Feed.
- Copy the URL from the confirmation dialog and add it to your calendar app as described in Add the feed to your calendar app.
If you already have an All Events feed, it is marked Already created. Open the existing feed instead of creating another one.
Create a feed for a saved view
- Open Services > Events.
- Open the menu of the saved view you want to follow.
- Select Subscribe.
- Check the Name, Past Days, and Future Days. The name starts as the name of the saved view.
- Select Create Feed and copy the URL.
If a feed already exists for that view, the menu shows View Feed instead of Subscribe. Select it to open the existing feed and copy its URL.
After editing a saved view's filters, reopen its menu and select Subscribe or View Feed. Use the resulting URL in your calendar app. If it differs from the previous URL, subscribe to the new URL and remove the old subscription.
Deleting a saved view also deletes its feed, so the subscription URL stops working. To replace it, save a new view, create a feed from that view, and subscribe to the new URL in your calendar app.
Choose the date range
The range extends Past Days before the current time until Future Days after the current time. Both values can be between 0 and 365. New feeds start with 30 past days and 90 future days.
The range moves forward continuously. Events that overlap this range are included. With the default values, an event drops out 30 days after it ends, and events appear 90 days before they start, after your calendar app refreshes.
Zero does not mean unlimited. Setting both values to 0 is not suitable for a daily overview: use a positive range to include the events you need.
Choose a longer Future Days value when you plan staff or rooms months in advance. Keep Past Days short if you do not need past events in your calendar app.
Add the feed to your calendar app
Copy the URL from the confirmation dialog, from the URL column in Calendar Feeds, or from Subscription URL when you edit the feed. Then subscribe to it in your calendar app:
| Calendar app | Where to paste the URL |
|---|---|
| Google Calendar (web) | Other calendars > + > From URL |
| Apple Calendar (Mac) | File > New Calendar Subscription |
| Outlook on the web | Add calendar > Subscribe from web |
Use the subscription option, not a file import. An imported file is a one-time copy and does not receive later changes.
What appears in the calendar
Each All Events or saved-view entry shows the event name, its description, and the location address. Unpublished events are included and marked as tentative. Archived events are not included.
Time slots that an event template offers but that do not exist as an event yet are not included.
Each My Schedule entry shows the resource assignment and the event, with the event number and the resource name in the details.
Keep the feed URL private
If the URL has been shared by mistake, replace it:
- Open Calendar Feeds and select Edit for the feed.
- Select Regenerate URL and confirm.
- Copy the new URL and subscribe to it again in your calendar app. Remove the old subscription.
The old URL stops working immediately. Every calendar app subscribed to it stops receiving updates.
Change, archive, or restore a feed
- To rename a feed or change its date range, select Edit, change Name, Past Days, or Future Days, and select Save. The URL stays the same.
- To stop a feed, select Archive. Subscriptions to that URL stop working. Remove the calendar from your calendar app as well.
- To use an archived feed again, open the Archived view, open the feed, and select Restore. The previous URL works again.
Use the Last Accessed column to see whether a calendar app is still using a feed before you archive or regenerate it. Never means no calendar app has fetched the feed yet.
Troubleshooting
| Problem | What to do |
|---|---|
| Calendar Feeds is missing from the user menu | Calendar feeds are not active for your account yet. Ask KORONA Event support. |
| Subscribe is missing from a saved view | Use a saved view on the Events list. Saved views on other lists cannot be subscribed to. |
| Recent changes do not appear in the calendar app | Wait for the calendar app's next refresh, or refresh the subscribed calendar manually if the app offers it. |
| The calendar app shows an error or stops updating | The feed may have been archived or its URL regenerated. Open Calendar Feeds, copy the current URL, and subscribe again. |
| An expected event is missing | Check that the event is inside the Past Days and Future Days range, that it is not archived, and that it matches the saved view the feed follows. |
