Settle reseller orders

Use Sales → Settlements to prepare a settlement for one reseller and period, review it, and issue the settlement invoice. A draft reserves its order lines while you review the amounts.
Before you start
Your staff role needs permission to create invoices. The reseller needs a saved agreement and finalized eligible orders. Only resellers with an agreement can be selected.
Settlement includes eligible KORONA Event orders assigned to that reseller. KORONA delivery notes, imported POS receipts and Bookingkit orders are excluded. Lines already invoiced or reserved by another draft are excluded too. Later changes to an invoiced order can appear as corrections.
Find settlements
The list shows each settlement's reseller, period, status, and balance due. Statuses are colour-coded: Draft, Issued, Failed, Discarded, and Corrected.
Use the list's filter control to search by reseller name or select resellers and statuses. If nothing matches, choose Clear filters. Select Reseller, Period, Status, or Balance due to sort the list; repeated clicks switch between ascending, descending and the default order. Period sorts by its start date.
Choose Create new view to save your filters and sort order with a name. Select that saved view above the list to reuse it. You can update, rename or delete a saved view using the same controls as other back-office lists. Your current filters and selected view are retained when you return to the list.
Create a draft
- Open Sales → Settlements and choose New settlement.
- Select the Reseller.
- Enter Period start and Period end. Both dates are included. The dates recorded when each order was finalized determine whether its lines fall in this period, using your account's timezone and the agreement's date basis.
- Choose Create draft to open the review.
The settlement uses your account’s currency automatically.
Only one draft with an overlapping period is allowed for the same reseller. If a draft already exists, review it or discard it before creating a replacement.
Review the settlement
The settlement opens on Overview. The header shows the reseller, the settlement period and the status. While the settlement is a draft, Issue settlement and Discard draft are available in the header on every tab.
Settlement amounts lists the amounts in this order:
- Sales before deductions.
- Ordinary discounts and Volume adjustments, shown only when the orders include them.
- Commission or Reseller discount, according to each line's recorded agreement type. A period containing both types shows them separately.
- Collections: vouchers redeemed on these orders. Their value is deducted from the balance due because you already received it. Shown only when non-zero.
- Balance due, with a note saying whether the reseller pays you or you pay the reseller.
- Tax breakdown, including the deduction's tax category.
Details shows the settlement period, the saved payment terms and how many orders and order lines the settlement covers.
The reseller's receipts from end customers do not count as collections by your organisation. Changing the current agreement does not recalculate an existing draft.
Check the order lines
Choose the Order lines tab to see each line with its order number, item, date, quantity, sales and deduction. Reductions made before settlement reduce the relevant lines; fully canceled lines disappear.
- To find lines, open the filter, enter an order number or item name and press Enter.
- To sort, select a column heading. Select it again to reverse the order, and a third time to return to the default order.
- To open an order, select its order number.
To reconcile the lines in a spreadsheet, choose Export data (Excel) or Export data (CSV). The export contains the lines that match your current search, in the current sort order. Large exports can take a moment; the button shows the progress and changes to Download export when the file is ready.
Issue the invoice
Choose Issue settlement and confirm. KORONA Event issues one invoice covering the allocated order lines, addressed to the billing reseller recorded when the orders were finalized. The invoice uses the payment terms saved with the settlement.
Commission appears as a negative provision-article line, with its recorded tax rate. Reseller discount appears as a discount on the ticket line and carries the ticket’s tax rate. The invoice shows sales, ordinary discounts, volume adjustments, deductions, taxes and balance due separately.
After issuance, the settlement overview shows the invoice number, issue date, due date, total and payment status. Choose View invoice to open it, or Download invoice to save the PDF. A settlement with a negative balance shows its credit note instead. If the invoice is not published yet, the overview says so until it becomes available.
The issued settlement keeps its invoice number. Repeating issuance returns that same invoice. If issuance fails because the draft no longer matches the available order lines, discard the draft and prepare a new one for review.
Changes after settlement
Staff can finalize a quantity reduction or cancellation on behalf of the reseller, then create the next settlement draft. The draft includes the correction with the original date and invoice number, even when that date belongs to an earlier settled period. The deduction reverses the amount recorded for the original sale; later agreement or commission changes do not change that reversal.
Late bookings for a period that has already been settled also enter the next draft. Their invoice lines show the original date.
Review the resulting balance before issuing:
- A negative balance produces a credit note referencing the original invoice or invoices. The affected original settlements show Corrected.
- A positive balance produces an invoice that includes the negative correction lines and their references.
- Reductions before the first settlement reduce the draft without a correction document. If all eligible lines cancel out, there is nothing to settle.
Previously issued invoices keep their original amounts. If the reseller has already paid, record any refund against the credit note using the existing payment workflow. Issuing the credit note does not transfer money automatically.
Discard a draft
Choose Discard draft and confirm. You return to the list, and the draft's order lines become available for another settlement. Discarding a draft does not cancel the orders or their tickets.
Issued settlements cannot be edited or discarded. If an issued settlement reports that sending the invoice to KORONA failed, use Retry sending to resend the existing invoice; do not create another settlement for the same lines.
When no orders are available
Check the reseller and period. An order may have a qualifying date outside the selected period, may already be invoiced, or may be reserved by another draft. Review existing drafts before creating a replacement.
