Sell and renew an annual pass

An annual pass is a ticket that stays valid for a year and is scanned at the entrance on every visit. Use this article to sell an annual or season pass, add member prices if pass holders should receive them, and renew or extend passes.

Before you start

  • You can create products in KORONA.studio, or a colleague who manages KORONA.studio can do it.
  • You know how long the pass is valid, for example one year after activation or until the end of the season.
  • You have decided whether pass holders also receive member prices. If they do, read Get started with memberships first.

Create the pass

  1. In KORONA.studio, create the pass product with its price.
  2. Give it a ticket definition with the pass validity, for example one year after activation. Configure the total permitted admissions for repeated visits, and check the daily admission limit and any restrictions on re-entry. A one-year validity period alone does not allow unlimited visits; a ticket limited to one admission is used up after its first visit.
  3. Assign a production type that activates and prints tickets, so the customer receives a ticket that can be scanned on every visit. Do not use a method that validates the ticket at the time of sale; this would count an admission at the time of sale.
  4. Wait for the next synchronization, then open the product in the KORONA Event back office under Services > Products.
  5. In Capacity settings, make sure Represents an attendee is on and select Save changes.
  6. Make the product available in the online shop. See Sell products online.

An admission-only pass works entirely through its ticket. Guests can buy it without a customer account, and the pass holder only needs the ticket at the entrance.

Add member prices to the pass

If pass holders should also receive member prices while their pass is valid:

  1. Set up a customer group and its member prices in KORONA.studio, as described in Set up a membership.
  2. On the pass product's Online display tab, select the customer group under Customer group after purchase and Membership during ticket validity under Customer group assignment duration.
  3. Select Update.

The member prices then end when the pass expires. Online buyers must sign in or create a customer account, so the membership belongs to a customer who can use it. See Require a customer account for membership purchases.

Renew or extend a pass

  • Renew: the customer buys the pass again. The new ticket has its own validity. If the pass also provides member prices, they continue while either ticket is valid.
  • Extend: staff can extend an existing pass. Open the pass holder's attendee, select Edit entry for the ticket on the Overview tab, change Valid to, and select Save entry. You need permission to update attendees.

KORONA Event does not renew passes or collect payments automatically. To remind pass holders, you can assign a scheduled email to the pass product that is sent a set time after Booking time. The email is sent even if the customer has already renewed. See Create a scheduled email.

Troubleshooting

The pass is valid for the wrong periodThe ticket definition's validity in KORONA.studio. Correct it there for future passes and extend affected tickets.
