Build a private event registration flow

Use this workflow when an event should be unlisted or restricted, such as a preview, partner slot, staff booking, or member-only date. A hidden offer and direct link reduce public discovery; they do not restrict who can open or forward the link.

KORONA Event does not turn a hidden link or discount code into an invitation-only gate. When access must be enforced, use only a customer-account restriction, allowlist, or staff-approval workflow that support has confirmed for your account.

Before you start

Prepare:

  • the event or time-slot offer
  • the invitation list and whether guests may forward the link
  • the discovery method: hidden offer and direct link
  • the access control, when registration must be private: a supported customer-account restriction, allowlist, or staff approval
  • whether a separate KORONA.studio Couponing Promotion should provide a discount after access is decided
  • the price categories and POS setup
  • the email template or external invitation message
  • a test customer who is not on the public team

Create the offer

In the back office, open Services > Events or Services > Event templates.

Create or open the offer. Confirm Name, date or time pattern, Capacity, Prices, and Sales channels.

If the offer should not appear in public listings, turn on Hide from shop in the offer details. Hidden offers can still be reachable from direct links in some setups, so combine this with the right sales-channel and checkout controls.

Add a discount only when needed

If invited customers should also receive a discount, create a Couponing Promotion in KORONA.studio and synchronize it. Do not use the deprecated KORONA Event Settings > Promotions page. The discount remains separate from the access decision and is never proof that the person is invited.

Send the invitation

Send invitees the customer-facing shop link and any instructions for the supported access workflow. Include:

  1. event name, date, and time
  2. sign-in, allowlist, or staff-approval instructions, when applicable
  3. booking deadline
  4. whether the unlisted link may be forwarded
  5. who to contact when the code does not work

Use a direct offer link when the event is hidden from the shop list.

Test the flow

Open the online shop in a private browser window or logged out session.

  1. Confirm the offer does not appear in public lists when it is hidden.
  2. Open the direct link.
  3. Test the flow with one approved account and one unapproved or logged-out customer.
  4. Add the ticket to the cart. If a separate discount applies, enter its code and confirm the amount.
  5. Complete the order with the approved test customer.
  6. Open the order in the back office and check the customer, event, price, access outcome, payment state, attendee, and email.

Expected result

Public customers cannot casually find an unlisted offer. Where access must be private, the supported account restriction, allowlist, or staff-approval step prevents an unapproved registration from being confirmed. A separate Couponing Promotion changes price only.
