Use the customer Consents tab to check whether a legal document was accepted for the customer account or during a specific online shop checkout.

Before you start

You need access to Sales > Customers and permission to view legal documents. To use View order, you also need permission to view orders. The customer record must exist in KORONA Event.

Account-level and checkout-specific acceptance are separate evidence:

  • Accepted is an account-level acceptance. It applies to the customer record and takes precedence in the overview.
  • Accepted during checkout is proof attached to one order. It confirms acceptance for that checkout only and does not create account-level acceptance.

Review a customer's consents

  1. In the back office, open Sales > Customers.
  2. Search for and open the customer.
  3. Check Consents on the Overview tab for a quick status.
  4. Open the Consents tab.
  5. Find the required legal document.
  6. Review the account-level state on the right side of the document row.
  7. If Accepted during checkout appears, check the date and select View order to open the order that contains the latest checkout-specific proof for that document.

Checkout-specific proof includes its acceptance date and a link to the related order without marking the customer account as accepted.

Understand the states

StateWhat it meansWhat you can do
AcceptedThe customer record has account-level acceptance for this legal document.Review the acceptance date.
Accepted during checkoutThe latest recorded proof belongs to one online shop order.Select View order to inspect the related order.
AcceptNo account-level acceptance exists, so authorized staff can record one.Use the control only when your process permits manual acceptance.
Pending on the overviewNeither account-level acceptance nor checkout-specific proof is available.Confirm that you opened the customer attached to the relevant order.

Expected result

You can identify the scope of each acceptance. Account-level Accepted always takes precedence on the customer overview. When checkout-specific proof exists and there is no account-level acceptance, the overview shows Accepted during checkout instead of Pending, and the Consents tab links to the related order when you have permission to view orders.

Troubleshooting

ProblemWhat to check
The document still shows PendingConfirm that this customer record was used when checkout was submitted and that acceptance of the required document was included.
The expected order link is not shownConfirm that acceptance was recorded during checkout and that you have permission to view orders. Without that permission, the checkout proof and date remain visible, but View order is hidden. Account-level acceptance has no related order link.
The link opens a different recent orderA customer can accept the same document in several checkouts. KORONA Event shows the latest acceptance by date.
The Accept control cannot be changedAsk an administrator to check your permission to update customers.
