Use direct printing to send items from an order, such as membership cards, straight to a printer at the POS or in the back office. Printing does not issue, activate, renew, or redeem anything; it only produces another copy of an existing item.
Before you start
- Assign a physical-card PDF template to the product or configure the tenant physical-card default. Only items with a template can be sent to a printer.
- Complete the holder's first and last name and, if the template shows a photo, the holder's photo. Purchaser details do not replace missing holder details.
- Cancelled, locked, pending, expired, or used items cannot be printed.
- You need permission to read attendee information. In the back office, the printers of your assigned point of sale are used, and print jobs are sent from the device you are working on.
Set up a printer
An administrator with permission to edit points of sale opens Settings > Points of sale, edits a point of sale, and scrolls to Printers.
- Select Add printer, or select Edit next to an existing printer.
- Enter a Name that staff will recognise, for example "Front desk card printer".
- Choose the Connection:
- Print service on each device uses the print service installed on the device that is printing. The default address is
http://localhost:9090. - Shared print service sends every job to one print service on the network. Its address must use HTTPS, and the print service must restrict access. Confirm this with the checkbox before activating the printer.
- Choose the Size. Use Card (CR80) in the orientation of your template, or Custom size to enter the width and height in points. The size and orientation must match the physical-card PDF template.
- Under Available at, choose every point of sale that may use this printer. The current point of sale is preselected.
- Select Default printer for this point of sale if staff here should get this printer preselected.
- Keep Active selected and select Save printer.
The table shows whether each printer is the Default, Available, or Not available at the point of sale you are editing.
Choose the physical printer in the print service itself. To use a different physical printer, add another printer with its own print service address.
Print at the POS
- Open the order's reprint page and select the items in the table, as for any reprint. You can select tickets and items with a print template together. Items with a print template show a printer icon; tap it to see which printer Automatic uses, or why the item cannot be printed (the icon is orange then). With several printers, the printer name appears next to the icon.
- Next to the print button, check Print to:
- Automatic is preselected when the order has items with a print template. Those items print on their printer (the default printer of your point of sale when it fits), and all other items print on the POS printer, in one step.
- POS printer reprints everything through the POS as before. Use it as a fallback when a printer is unavailable.
- Choose a printer to send only items with a print template to that printer.
- Download PDF downloads items with a print template to print through a PDF viewer instead.
- Select Print (or Reprint for the POS printer). If the button is unavailable, a dot appears on the Print to button; open it to see what is missing and how to fix it.
- Items printed on a printer show their result in the table. Check the printed item itself, including the holder, photo, size, orientation, and barcode.
If a matching default printer is not reachable, Automatic waits for that printer. Select another matching printer explicitly, or restore the default printer and select Check printers. Automatic can use another printer when the default has another size and only one ready printer fits. If several printers fit and there is no matching default, choose a printer explicitly.
When the browser sends the print-service job directly, the ordinary POS reprint waits for the print service to accept it. A rejected or unknown result keeps the ordinary POS reprint from proceeding. With the native POS integration, both jobs are handed to the POS together and their results are independent: the POS printer may print even if the print service later fails or times out. The Print to menu shows a notice for this mixed selection. Check both outputs before deliberately printing again.
For a partly sent selection, selecting Print again sends only the items that were not sent. Check results for the items already sent; an unknown result may still print. Print again explicitly makes new copies of the whole selection.
Each printer in Print to shows its status:
| Status | What to do |
|---|---|
| Ready | You can print. |
| Needs setup | Select Open printer setup, choose a printer in the print service, then Check printers. |
| Not reachable | Make sure the print service is running and the device is connected, then Check printers. |
| Not available in this browser | Choose POS printer, or ask your administrator to check the print service. |
| Different size | Choose a printer that matches the template size, or check the template. |
| Turned off | Choose another printer, or ask an administrator to activate it. |
Print in the back office
- Open the order's Attendees tab.
- To print one attendee's item, open the row's action menu and select Print on followed by the printer name. Only printers that fit the item are listed, the default printer first.
- To print the displayed items with a print template, open the menu in the table header and select Print displayed items on printers. The count includes only items from the rows already loaded in the table. Scroll down or select Load more to include more rows, then check the count before printing. Each included item goes to its printer automatically. Print displayed items again makes new copies of those displayed items.
- A message confirms the result, and the item shows its result next to its number. Check the printed item itself before handing it over.
If an item cannot be printed, its menu explains why, for example a missing holder name or a printer that is not reachable. For Needs setup, use Open printer setup followed by the printer name. After completing setup or restoring the connection, select Check printers in the menu to recheck the displayed items.
Understand the result
| Result | What it means |
|---|---|
| Not sent | The item was prepared but not sent to the printer. |
| Sending | The job was sent; the print service has not confirmed it yet. |
| Queued | The print service accepted the job. Printing may still fail. |
| Printed | The print service reported success. Check the printed item before handing it over. |
| Failed | The print service reported an error for this item. Other items in the same job may have printed. |
| Unknown | No result is available, for example after a delay or a restart of the print service. |
